Starting point: growing demands on project management
Tallence used Microsoft Dynamics 365 Project Operations for project management, time tracking and resource planning. Over the years, the company had adapted the solution to its requirements. In this grown configuration, the support effort increased, while performance and user adoption declined.
Three criteria were decisive for the switch: a high performing application, ease of use and the ability to integrate AI into operational processes via an MCP interface.
The Aerion showcase convinced Tallence to make the switch.
Less support effort, simpler time tracking
According to Tallence, the switch eliminates around 30 hours per month that were previously spent by two people on supporting the previous solution. This included coordination with the service provider and handling Dynamics related issues. The weekly support call is no longer needed.
Time tracking has also become simpler. According to the person responsible, logging time is at least 50 percent faster than before. In daily operations, Tallence also observes that employees record their time more regularly.
As a result, more up to date information is available for project management.
More transparency for resource planning and project profitability
The Transformation and DO units use resource planning regularly. They get a transparent overview of planned person days and the associated expected project revenue.
Absences are imported via the HR-Works integration and are available in Aerion.
Utilization data and missing time entries are visible directly in the system. Tallence no longer needs additional Power BI reports for these analyses. The available data supports the assessment of project profitability and forward looking project management.
AI support via the MCP interface
At Tallence, HubSpot supports sales and Aerion supports project delivery. Via the MCP interface, the responsible administrators can also access Aerion with Claude and carry out tasks.
One use case is creating time entries. Claude can support this in different ways, for example based on calendar information. Bookings are still reviewed and approved by the project management or the respective unit lead.
Currently, two administrators use these AI supported capabilities. They complement Aerion's standard functionality and reduce manual work steps.
“Aerion is a game changer for our delivery management. We have less support effort, more transparency in our projects and can simplify additional work steps with AI via the MCP connection.”

Rollout within six weeks
Within six weeks, setup, integrations, migration and the rollout to all intended users were completed.
No formal training was required for day to day use. Tallence received particularly positive feedback on the design, ease of use and mobile usability. From an administration perspective, the MCP connection also opened up new possibilities.
Claude was also used for the migration: via the MCP interface, the AI supported setting up projects and importing historical time entries.
“I was especially pleased with how quickly our employees got to grips with Aerion. The ease of use and mobile usability made getting started easy.”
