Situation

Despite its strong market position, tecRacer struggled with disconnected tools for planning, time tracking, and billing. Manual workarounds in Excel created high maintenance overheads, while billing and inter-departmental handovers were inefficient and prone to miscommunication. With projects spanning Sales, Delivery, and Accounting, the lack of integration slowed processes and reduced visibility across teams.

Challenge

Before implementing Aerion, tecRacer used separate systems for time tracking and billing, leaving project controlling largely “blind.” According to Tillman Krauss, Team Lead & Senior Consultant, it was impossible to verify whether tracked hours matched what was planned. Excel became the default workaround, but it required constant updates, introduced errors, and frustrated employees.

Billing processes were equally cumbersome, with PDFs exported and shared manually through SharePoint—leading to endless alignments and discussions. Resource planning lacked tool support, making it difficult to compare planned versus actual hours, and structured processes repeatedly failed to gain traction.

Integration gaps compounded the problem. Critical handovers, such as from Sales to Delivery, were entirely manual, which meant that key information—like invoice status—was often missing. Customer queries triggered a cascade of emails across departments, consuming valuable time.

Impact

Since adopting Aerion, tecRacer has transformed its workflows. Manual Excel adjustments are now almost nonexistent, and automation has streamlined operations across Sales, Delivery, and Accounting. This has reduced communication overhead, improved transparency, and made the entire organization more efficient.

Resource planning, once fragmented, now provides a clear horizon from weeks to months, enabling proactive staffing decisions and more reliable cash flow forecasting. Financial control has improved dramatically, with real-time project tracking and KPIs making issues like budget overruns visible early rather than months later.

Billing has also been revolutionized: today, 90–95% of invoices are processed seamlessly compared to none before. From planning to invoicing, processes are smooth, reliable, and far less resource-intensive. As Krauss notes, Aerion is not a static tool but one that evolves with tecRacer’s needs—empowering smarter decisions across the business.

Onboarding Process

The migration to Aerion was remarkably smooth. A full test migration covering five to six years of tracking data verified both integrity and quality, with virtually no issues during implementation. For Krauss, an experienced migration professional, the process exceeded expectations: seamless execution despite high data volumes.
